No. We only accept ACH/wire transfers for booth payment. We do NOT accept credit cards, check, cash, or money orders. Please make all payments out to CLTV8, LLC.
Section 5 of the Contract — Cancellation. In the event that Exhibitor cancels or terminates this ESA Agreement, Exhibitor shall be charged a cancellation fee of fifty percent (50%) of the Exhibit Space Fee, provided that Exhibitor notifies Operator at least ninety (90) days prior to the commencement of HOF.
Should the cancellation occur at least forty-five (45) days prior to the commencement of HOF, Exhibitor shall be charged seventy-five percent (75%) of the Exhibit Space Fee. If the Exhibitor notifies the Operator less than thirty (30) days prior to the event, the Exhibitor shall be charged a cancellation fee of one hundred percent (100%) of the Exhibit Space Fee.
Yes. Complimentary Wi-Fi will be available throughout the venue for all exhibitors.
No. Electrical service is not included with booth packages in New York and must be ordered separately if required.
If your booth will require power, please contact our official Exhibitor Services Partner, CSI, to place your order. We recommend ordering electrical service in advance to ensure availability. Please refer to the Electrical Services section of the Exhibitor Manual or the CSI Info Sheet for service options, pricing, and ordering instructions.
No. Wall graphics are not included with Arena or Mini Arena Booths in New York.
If you choose to add wall graphics to your booth, they must be ordered through Hall of Flowers' exclusive graphics partner, 3 Birds. Ordering information and graphic specifications will be provided by the Hall of Flowers Onboarding Team as part of your deliverables package.
Please note that exhibitors are responsible for all costs associated with the production and installation of booth graphics.

No. Craft Stands and Boutique Booths may not exceed the maximum display height of 5'6". Arena Booths have a maximum height limit of 8'0".
Our Production Assistants (PAs) will be monitoring the show floor throughout the event to ensure all exhibitors remain in compliance with these height restrictions. Any displays exceeding the allowable height limits will be required to be modified to meet the event guidelines.
No. We strongly encourage all exhibitors to secure or remove any valuable items, including cannabis products, whenever their booth is left unattended.
Exhibitors are responsible for providing their own lockable storage containers for securing products and valuables. Please note that lockable storage is required for any exhibitor conducting in-booth sales.
While event security will be present throughout the venue, Hall of Flowers cannot be held responsible for lost, stolen, or unattended items.
No. In New York, all booth installation and dismantle work must be performed by union labor in accordance with venue and local union requirements.
Your team may designate one Project Manager to be present onsite to direct and oversee the installation; however, all physical booth construction must be completed by the assigned union crew.
If you have questions regarding the union labor requirements or need assistance coordinating installation, please contact our Exhibitor Services Partner, CSI. They will be happy to guide you through the process and ensure your installation is scheduled appropriately.
Please note: A designated Project Manager or booth representative must be present during installation to direct the union crew and answer any questions related to the build.
Booth assignments will be released on Friday, two weeks prior to the event and will be emailed directly to your team's designated point of contact.
Please ensure your primary contact information is up to date so your booth assignment and any related event communications are received promptly.
While exhibitors are not able to select their specific booth locations, we will make every effort to accommodate requests to be located near another exhibiting brand.
If you have a proximity request, please submit it to ops@hallofflowers.com as early as possible. Although we will do our best to honor these requests, booth placement is based on overall floor plan logistics and cannot be guaranteed.
The New York venue features carpeted exhibit hall flooring throughout the show floor. Additional flooring within your booth is optional and may be ordered through the official Exhibitor Services Partner if desired.
Please note that all booth flooring, if utilized, must comply with the event's Exhibitor Guidelines and venue regulations.

Boutique & Boutique Plus Booths
Nothing may be attached, adhered, or fastened to the booth walls. We encourage exhibitors to utilize free-standing displays, shelving, and fixtures to showcase their products and branding.

Arena Booths
Arena Booth walls are designed to accommodate standard exhibit installations; however, exhibitors must follow the following guidelines:
Painting Booth Walls
Exhibitors wishing to paint their booth walls must obtain prior approval from Show Management.
Booth Restoration
All materials, hardware, graphics, and fixtures installed by the exhibitor must be completely removed during move-out. Any holes created by approved mounting methods must be properly patched by the exhibitor before leaving the venue.
Any damage to booth walls beyond normal wear and tear—including excessive holes, adhesives, paint, cuts, or other modifications—will be repaired at the exhibitor's expense and billed accordingly.
Boutique & Boutique Plus Booths
Boutique and Boutique Plus Booths are designed as plug-and-play exhibits and come equipped with booth walls, shelving, a display counter, stools, and a booth identification sign. As such, custom booth fixtures and build-outs are generally discouraged.
However, Show Management will consider requests for custom booth enhancements, provided they comply with all booth guidelines and venue regulations.
If you would like your proposed customizations reviewed, please submit color images, dimensions, and a brief description of the items to ops@hallofflowers.com no later than 30 days prior to the event. All customizations are subject to Show Management approval.
Arena & Mini Arena Booths
Arena and Mini Arena Booths are designed to be fully customizable, giving exhibitors the flexibility to create a unique brand experience.
Exhibitors are responsible for coordinating all furniture, décor, fixtures, and custom build elements through approved vendors, provided the booth design complies with the Exhibitor Guidelines and venue regulations.
A booth rendering must be submitted to Show Management no later than 45 days prior to the event for review and approval. Booth construction may not proceed until approval has been received.
Event tickets are non-transferable and non-refundable.
Please verify the names of all staff members before redeeming your tickets, as name changes cannot be made once a ticket has been redeemed.
To avoid any issues with event access, we strongly recommend confirming your staffing roster prior to completing the ticket redemption process.
Each booth package includes a designated allotment of complimentary exhibitor passes. A limited number of additional two-day exhibitor passes are available for purchase at a discounted rate.
Additional passes are available while supplies last and are offered on a first-come, first-served basis.
Please refer to the Exhibitor Pass section of the Exhibitor Manual for the complimentary pass allotment associated with your booth type.

Exhibitor ticket redemption codes will be sent to your company's designated point of contact who has been working with the Hall of Flowers Onboarding Team.
Ticket redemption codes are typically distributed during the week prior to the event and are only issued to exhibitors who have successfully completed all required deliverables.
Please note that you will not receive your ticket redemption code until all required submissions have been received, reviewed, and approved by Show Management. To avoid delays, we encourage you to submit all required deliverables by the published deadlines.

Hall of Flowers has implemented a simplified B2B cannabis sampling program that allows qualified, licensed exhibitors to provide complimentary product samples directly to licensed retail buyers during the event, in accordance with applicable New York State regulations.
Participation in the sampling program is subject to eligibility requirements and compliance with all event and regulatory guidelines.
